Exactix v4.1.39 Release - What Do I Need to Do? (Excavator)

What You Need to Do to Comply With The Change 

Applies to: Facility Owners / Utility Members, Locators, and Excavators 
When: When responding to an Excavator Renotification (EXRN) or Relocate/Refresh (RLRF) 

What is Changing? 

When an EXRN or Relocate/Refresh is generated for your Service Area: 

✅ You must upload a NEW attachment with your response 
🚫 Attachments from previous ticket versions do NOT carry forward 

If no new attachment is uploaded, the response may be marked late, even if you posted a response code on time. 

If You Submit an EXRN (Excavators) 

What You Must Do 

  1. Select the correct EXRN reason Examples:  
    1. Inaccurate markings 
    2. Inaccurate or missing Positive Response 
    3. Insufficient supporting documentation 
  2. Choose who should be notified  
    1. Send the EXRN to the correct utility or service area 
  3. Be specific  
    1. The reason you select tells the utility owner exactly what needs to be corrected 

✅ Clear EXRN reasons help ensure faster, more accurate responses. 

 

If You Receive an EXRN or Relocate/Refresh (Members / Locators) 

✅ What You Must Do 

  1. Open the EXRN or RLRF ticket 
  2. Submit a new Positive Response 
  3. Upload a new attachment that supports that response 
    1. Examples:  
      1. Photos of markings 
      2. Maps or sketches 
      3. Updated documentation relevant to the current ticket 
  4. Confirm the attachment is visible on the current response before exiting 

✅ Attachments are required every time an EXRN or RLRF is received. 

 

What Will Cause a Late Notice 

  • Submitting a response without a new attachment 
  • Assuming an attachment from the original ticket still counts 
  • Uploading documentation to an older ticket version 

Exactix now tracks why tickets are late (no response, no attachment, or both).

Before you close an EXRN or RLRF response, ask: 

✔ Did I submit a new Positive Response? 
✔ Did I upload a new attachment for this ticket version? 
✔ Can I see the attachment listed on the response? 

If yes to all three, you are all set.
